Coffee Roaster Quotation Checklist: 15 Details to Send

A useful quotation should define the machine, utilities, supporting equipment, shipping and service scope. Send these details to receive a proposal that can be compared properly.

“Please send your best price for a coffee roaster” is not enough information for an accurate technical proposal. Two projects using the same nominal capacity can require different fuel systems, voltages, controls, exhaust equipment, loaders, destoners and shipping arrangements.

A complete request reduces revisions, exposes hidden project costs and makes quotations from different manufacturers easier to compare.

1. Why coffee roaster quotations are not identical

The machine price is only one part of the project. The final configuration may change with destination standards, electrical supply, fuel, automation, emissions requirements, finish, accessories, commissioning and freight.

Before contacting a supplier, prepare the following 15 details. If some information is unknown, mark it as unknown instead of guessing.

Provide actual output where possible. It gives the supplier a baseline and helps identify whether production labor is already constrained.

List the typical production batch and the smallest lot you must roast. A machine that satisfies maximum output may still be unsuitable for small single-origin orders.

A five-product wholesale range creates a different schedule from twenty frequently changing coffees. Product mix affects batch count, cleaning, changeovers and the value of automation.

5. Production days and available hours

Explain whether roasting will occur one day per week, every morning or across multiple shifts. Capacity should fit the operating schedule, not only the annual sales target.

Specify natural gas, LPG or electric, and confirm what is actually available at the site. Review gas vs electric coffee roasters before deciding.

8. Voltage, phase and frequency

Send the building's confirmed electrical supply, for example 220-240 V single phase or 380-415 V three phase, plus 50 or 60 Hz. A local electrician should verify available capacity.

9. Exhaust route and local requirements

Send room dimensions, door widths, steps, elevators and unloading conditions. Include the proposed locations of the roaster, cooling tray, cyclone, ducting, green coffee and packaging.

Explain who will operate the machine and whether repeatable recipes, automatic loading, automatic discharge or production reporting are priorities.

12. Required accessories

Identify green-bean loaders, destoners, smoke treatment, afterburners, conveyors, silos, weighing systems and packaging equipment. A complete roasting line should be planned as one workflow.

State preferred color, branding or layout requirements. Ask whether customization changes cost or lead time.
